No Show Policy:
Effective February 2020
Life gets so busy, and we know unexpected things can interrupt your plans for the day! But to provide quality and fair care to all of our patients, we have established a new no show and late policy that we wanted to communicate with you, so there are no surprises!
No Shows
Like most practices, we ask that you provide us with at least 24 hour’s notice if you need to cancel your scheduled appointment. This helps us reach out to others who may need care.
If you are unable to make your appointment but don’t let us know in advance, we will assess a $40 no show fee, which must be paid prior to rescheduling or making any additional appointments. The good news is that we have several options for you communicate your schedule changes with us (call, text, email) so we hope there is never a need to assess that $40 no show fee!
Late Policy
You’ve probably noticed that we are a busy practice, and when we schedule appointments for you and our patients, we reserve that time with the doctor for you and only you. When patients arrive to their appointments late, it affects the reserved time for other patients.
Out of respect for all of our patients who have reserved appointment time, if you arrive more than 10 minutes late to your appointment, please be prepared to reschedule. If there is a cancellation or opportunity in our schedule to fit you in, we will happily do so, and will evaluate our schedules on a case by case basis. But please make an effort to arrive on time (or even early) to your appointments as much as possible.

No Show Rescue
No Show Rescue is to help get our patients scheduled who have not shown up for their appointment.
· Each week you will look at the NS spread sheet for patients who have NS’d. Each patient should be contacted to reschedule.
· Text or call the patient letting them know that if they schedule by a certain date (1 month from their original appointment, we will take off the NS fee. If the patient does not the NS fee will remain and they will be responsible for the $40 fee.
· Once a patient is contacted please add an alert
o “NO SHOW RESCUE MESSAGE SENT- Valid through __date__”
· In addition to the alert please highlight the NS line on the spreadsheet in a gray color so we know they have been contacted.
Subject: We missed seeing you for your eye appointment today!
Hey (Patient First Name),
Your vision is so important to us, and we are sorry you had to miss your recent appointment that you scheduled with us. We hope everything is okay!
Since we didn’t hear from you regarding this scheduled appointment, we have assessed a $40 no show fee to your account, as per our policy. If you would like more information about our policy, feel free to contact us. We’re happy to answer any questions you may have!
We’d also like to reschedule that appointment for you, so that you can continue to see your best. Simply call, text, or email us, and we will find a time that works better for you. Thank you, and we look forward to hearing from you soon!
