The OAs at each office have a few tasks that they must complete to open up the exam rooms, and to properly clean and close up the exam rooms. Below you will learn what the various opening and closing duties are for each OA each day.

1.The opener is responsible for making sure every exam/dilation room and the pretest area are open and ready for the day.
log in all the exam room onto Eyecare and Acuity Pro,
log in the pretest computer and open up all photo programs
uncover the equipment (slit lamp, phoropter, Visual Field, Auto, Camera, OCT, and topographer)
2. In each exam room the follow things need to be set out to start the day:
near testing card,
cover paddle,
acuity remote
ICARE/GLDM depending on the doc.
3. Overall, make sure each room and area are clean and ready for patient care.
4. Finally, delete WVOA/WVEHR/EHRSCANS scanned documents in the morning before patient care.
All of this will be explained in detail throughout your training. You are scheduled as the primary opener at least one day out of the week, this will be indicated on the weekly schedule. Also, in offices that run two or more doctors, the opener, because of their extra responsibility that day, gets 1st pick of which doctor they would like to work with that day.
oa Closing Protocols
Individual OA Closing Responsibility
Each OA is responsible for closing their doc’s exam rooms at the end of the day. Here are the primary closing tasks for each OA to close their exam room:
Restock drops, contact lens cases, tissues, contact lens solutions, alcohol wipes, kim wipes, and forms used during exams (cl education, diabetic reports, amsler grids).
Wipe down the counter, exam chair, and equipment.
Cover the phoropter and slit lamp,
empty the trash,
shut off lights and acuity monitor.
If your doc used a laptop, wipe it down and plug it in to be charged.
Finally, log the computer off of the server after you’ve signed off on patient charts and wipe off the keyboard and mouse.
The pretester is responsible, to whatever degree possible if patient care is still occurring, for closing down the pretest area and whatever room they used to work up patients. This includes shutting down and covering the autorefractor, octopus, Threshold, OCT, camera, and topographer; emptying the trash; closing any computers down; wiping off anything that a patient or the pretester touched; and turning off the lights.
Primary Closer’s Responsibility
At our offices where there are multiple OAs scheduled, one of the scheduled OAs will be designated as the Primary Closer for that day. If you are the only OA scheduled at your office, you are automatically the Primary Closer and should complete these tasks.
The primary closer is responsible for ensuring that any closing duties missed (or unable to be completed at the time such as closing down the camera while patient care is still occuring) by the doc OAs or pretester is completed.
Double check that all Surfaces are plugged in.
Take the accumulated trash in the lab out to the dumpster.
Take the empty charts back down to the PR room.
Finally, make sure the computers in the lab have been logged off the server and
turn off the lights.
