In this module, you will get a closer look at the Patient Ledgers, which is where all billing, charges, and payments are documented. To find the ledger on a patient’s chart, simply click on the $ icon at the top of the patient’s demographic screen. In the video below, we will go over how to “read” a ledger, a quick overview of how to post services and materials, and how to collect payments.  TO POST A PAYMENT:

  • Go to patient screen

  • Go to Ledger

  • Click “Credit”

    • “responsible”

  • Enter payment type

  • Enter correct payment amount

  • Enter correct ID for processing (either your initial, if applicable)

  • If CC, enter the type in ID/CC box (or use drop down menu)

  • If a check, enter the last name and check # in the ID/CC box

  • If Cash, enter Cash in the ID/CC box

  • Save by clicking on the folder icon at the top right

  • ALWAYS PRINT RECEIPTS! Click “Print” while in the ledger, then “Receipt” and follow the prompts.

TO POST A REFUND:

**Before posting a refund, the Resp. Bal at the top of the ledger must show a negative amount.

  • Go the patient’s Ledger

  • Click “Adjust”

  • In the reason box select reason for adjustment/refund

  • Adjust off the correct amount (positive)

  • Save

  • Then click “Credit”

  • Responsible

  • Enter type of credit

  • Enter amount as a negative amount

  • Save

  • Remember to print a receipt!
