In this module, we will go over the extra steps that you will complete at the Front Desk whenever there is a threshold schedule. As a reminder, when patients come in for a threshold appointment, they are scheduled on a threshold schedule and NOT scheduled to see a doctor. The OA does the threshold test, and then there are a couple of steps that you will need to complete to ensure the doctor is able to review the testing and get the results back to the patient.
adding the patient to the threshold tracking spreadsheet
When a patient arrives for their threshold appointment, you will check in the patient as per usual, but once you offer them a seat in our lobby, you will need to add the patient’s info to the “Threshold Tracking Spreadsheet.” To find this spreadsheet, go to the PR Tracking Spreadsheets folder (where the NP Referral Spreadsheet and NS Spreadsheet live), and pull up the “Thresholds” folder.
From the Threshold tracking subfolder, you will find a spreadsheet for each year. Find the correct year and open the spreadsheet (and make sure that you're on the “sheet” for the correct location, as there are different sheets for WV, LC, and JT). Thresholds are performed by OAs, not doctors (unless it is a specifically scheduled doctor threshold), so the results of the threshold test need to be reviewed by a doctor. In the threshold tracking spreadsheet, you will fill in only the first five columns: Account number, threshold date (date of appointment), patient name, reviewing doctor (who you sent the to-do to), and to-do sent to doctor? (just a friendly reminder to send the to-do to the doctor). There are more columns, but those can be ignored, as those are for the reviewing doctors and the PR person assigned the individual task of sending threshold results to patients.
The 4 doctors who can review thresholds are BJJ, WGL, RCW, and KAM. If a patient regularly sees one of these doctors, you will send a to-do to that doctor saying “please review testing”; if a patient usually sees a different doctor, then you will send the threshold to-do to Dr. Johnson.
Sending the reviewing doctor a to-do: While in the patient's screen, you will go to the “patient action items” section and hover over the ellipses until the options appear. Click “add,” which will bring up the to-do that you will send to the doctor. You will put the initials of the reviewing doctor in the “ID” box, and ignore the “dept” box. After that, all you need to do is put “please review testing” in the “Action” box. The reviewing doctor will receive the to-do and mark it as “done” upon completion. Voila! You've sent your threshold to-do!
And that is all you need to do extra on Threshold days-not too crazy, but super important to complete for every threshold patient on the schedule!
